PRIMARY DUTIES AND ACCOUNTABILITIESAdminister and maintain contract files to ensure compliance with JLL and Client Sourcing requirements, processes and other contractual documentation.Administer Avetta system for account, including vendor setup and tracking of contract and COI compliance.Responsible for communication, coordination and implementation of established sourcing initiatives and contract negotiations to suppliers and operations team.Closely support the client, JLL Sourcing and Facility Management teams to drive both immediate and sustained benefits to the client.Responsible for data integrity of contract database – oversee maintenance and enhancement of contract database.Work in cooperation with JLL, Finance, and Supply Chain to ensure that financial transactions are processed in an orderly and timely fashion.  Ensure invoice amounts are correct and paid on time based on established contractual agreements.As required, receive/record invoice receipts in JLL software system.  Ensure amounts are correct and paid within established contractual agreements.Independently research invoice discrepancies and work with appropriate personnel for resolution and payment.Gather, update and maintain electronic documentation, such as Certificates of Insurance, Purchase Orders, Employee Competency Validation, etc. as it relates to overall service provided under contract for the client.Responsible for data integrity of the contract and document storage databases – oversee maintenance and enhancement of databases.Provide corporate budget analysis in assigned spend and make recommendations that contribute to the organizational budget process.Execute, track and document sourcing efforts resulting in cost benefit to JLL and / or client.Establish work priorities, assign deliverables and resolve issues with Operations and other stakeholders to assure client and customer satisfaction.Maintains and contributes to a safe work environment. Uses tools and equipment appropriately.  Education, Licensing, Certification and Skilled Trade Requirements:Business Degree with 1-3 years in similar role and functionExcellent PC skills, proficient in all MS applicationsKnowledge of hospital and equipment systems preferredAutonomous Decision Making and Interpersonal Skills:Excellent communication and interpersonal skills will be required in order to communicate with vendors, guests, hospital staff, management, co-workers and all other persons associated directly or indirectly with WBH or JLLThe job requires some autonomous decision making.
